About Us
The Vancouver Aboriginal Friendship Centre Society (VAFCS) supports the well-being of Vancouver's urban Indigenous community through programs and services that reflect and celebrate Indigenous culture. We are currently seeking a Housing Development Assistant to join our team and contribute to VAFCS' various housing projects.
The Housing Development Assistant will work closely with the Housing Development Manager and other team members, providing essential administrative assistance and support. This role is integral to ensuring housing projects are efficiently tracked, organized, and progressing smoothly. The ideal candidate is adaptable, proactive, and committed to delivering high-quality work. You thrive in a collaborative environment, take pride in relationship-building, and are skilled in managing multiple priorities with professionalism.
Responsibilities include:
- Assist the Housing Development Manager in executing high-profile, community-focused housing projects
- Coordinate and draft project communications, including Requests for Proposals (RFPs), Letters of Intent (LOIs), and contracts
- Organize team meetings, coordinate scheduling, and prepare meeting materials, including agendas, audiovisual setups, and catering. Record meeting minutes and follow up on action items
- Maintain and archive project files and databases to ensure efficient project documentation
- Handle phone calls, travel arrangements, calendar management, and expense reporting.
- Assist in procurement processes for consultants, contractors, furniture and signage, as required
- Follow up with municipality on permitting requirements in a timely fashion
- Participate in site reviews and attend coordination meetings, ensuring accurate tracking of project deliverables
- Build and maintain relationships with contractors, suppliers, and vendors to support project timelines and standards
- Perform other related tasks as assigned
Qualifications:
- Prior experience in housing development, property management, or construction is an asset
- Strong skills using Microsoft Office including Excel, Word, PowerPoint, and Outlook, with intermediate to advanced skills
- Familiarity with Adobe Acrobat Pro and experience annotating documents
- Demonstrated written and verbal communication skills, with attention to detail in proofreading and editing
- Excellent organizational skills and the ability to prioritize tasks effectively
- Ability to manage time independently to meet critical deadlines
- Problem-solving skills for building and maintaining positive relationships
- Strong interpersonal skills for building and maintaining positive relationships
- A professional, positive attitude as a representative of VAFCS
